What’s a table show?
This is an opportunity to exhibit on a Table. This vendor show will take place on tables without the traditional booth background.

What types of vendors can register?
Vendors that offer products that directly enable research at NIH; Typically biotech commercial vendors.

Is there a cost associated with the Vendor Exhibit?
-2025 Research Festival $500 Table Fee + plus Technical Vendor Association Membership for each attendee.

Do we need a Tablecloth with our company logo?
Yes, please bring a logo tablecloth since there’s no booth with signage.

Why is the event indoors?
There is a limit to outdoor space due to construction impacting parking.

Why are tables limited to one day per vendor?
There is an increase in demand for tables with limited space, so vendors are limited to a single day per company.

How many tables can we reserve?
One table per vendor/company due to limited space unless there are extra tables available at a later date.

How many reps can attend at the at the table?
We suggest no more than 3 reps. The Table is only 6ft, so there is a physical limitation to the space available.

Do we need to be a member of the Technical Vendor Association to participate?
Yes.

Why do we need to be a member of the Technical Vendor Association to participate?
We are requesting membership to keep us growing and cover our expenses so we can continue to develop new activities. Membership will fund our networking activities. We ask each vendor attendee to become a member of our association.

What does Technical Vendor Association membership cost?
In 2024 there was a small increase to fill a request for an additional event. $60 Membership is required for each attendee. The extra $10 will go towards a winter holiday party.

How do I become a member of the Technical Vendor Association?
Register with the fall show. R&W will invoice the cost.

Are tables provided?
Yes.

Table Size?
The tables are 72 inches long x 30 inches wide x 36 inches tall

Max table weight for capital equipment?
There’s a maximum of 100 lbs. per table evenly distributed

How do we register for the vendor show?
See the link to R&W’s website.

How do we pay for the event?
Vendors will be selected first come first serve. R&W reserves the right to approve or reject vendors. After vendors register, R&W will follow up with a payment link for credit cards or checks.

Who are we paying?
R&W is a non-profit, they will handle the registration, the registration fees, invoicing, and promotion of this event. R&W accepts the funds, not the TVA.

Who is R&W?

Will R&W be able to provide an Invoice?
Yes

Will there be opportunities to host a Workshop?
Yes with a limited amount.

What are the vendor workshops about?
We are creating an opportunity to provide educational seminars and interactive events for the research community.

Why are there a limited number of workshops?
There’s a limit of available space in the FAES classrooms. We are limiting this new opportunity for our first attempt.

How many workshops will be available?
TBA, in 2024. Room for 20 attendees per session.

How are vendors selected for workshops?
The TVA and NIH will review abstracts that have educational content and/or scientific merit.

How do we register for a workshop?
You must first register for the table show then select the workshop interest link in the vendor show registration, then Upload an abstract.

What’s the deadline to register for a workshop?

Will there be an additional cost for workshops?
2025 Yes. $300

Where will the workshops take place?
The workshops are located in the FAES Academic Center. The classrooms are below the FAES Terrace. Workshops in the fall show only

Will there be snacks for scientists?
Snacks will be provided by R&W and attendees will be invited to pre-register.

Will participation be required to get afternoon snacks?
Yes attendees will be invited to visit a set number of tables in order to receive snacks

Will there be parking for vendors?
Vendors should park at MLP-11 (Gateway Center) or Lot 18.
Please note, that not all parking lots are free at NIH. Parking fees are not included in your registration.

Where can vendors unload?
Drop your materials off by building 10 the south lobby, then drive to park and take the shuttle back (additional details closer to event). Plan accordingly for time to unload, park, and shuttle back to building 10.

How will you advertise the event?
NIH will post the event online, on their calendar, and mail their listserv. R&W will advertise on their site. We will post on Linkedin, and vendors will be asked to reach out to their customers online and in person.

Will there be electricity?
There is limited electric service available, do you require a plug? If so, let R&W know and why when you register. NIH and R&W will do their best to accommodate.

Will there be Wifi?
All guests can use the NIH Guest WiFi and do not need a password. Select the NIH-Guest-Network in “available wireless networks” from a laptop or mobile device, then click the “connect” button. Will there be a Vendor Networking event?
Yes! Details TBA but we are planning an event scheduled on September 11, 2025. Both vendor sessions would be invited.

Is the Technical Vendor Association the TSA?
No. The Technical Vendor Association (TVA) started in 2023
The TVA is a professional networking Group. Board members are volunteers.

Is the Technical Vendor Association affiliated with GTP?
No.

Is the Technical Vendor Association part of R&W?
No, we are new a group of reps who assembled to create new opportunities to network.

Can I ship equipment or display items to this event?
No shipments allowed. There is no room to store or receive items.

Who makes the final decisions who can display or present at this vendor exhibit?
Vendors and the vendor-sponsored workshops shall be subject to NIH/R&W/TVA group approval.

Can vendors reserve a specific day for the show?
Potentially Yes. R&W/TVA will do the best to accommodate your needs but can’t guarantee. Requests will be reviewed first come first serve basis.

What’s the registration deadline?

NIH is a government facility. Non-US citizens must preregister at least 10 days in advance to participate in this event. Please do not send the TVA your passport information. R&W is coordinating registration.

Swag No No’s. (Do not give these away under any circumstances).
Optical disks such as CDs/DVDs, USB flash drives, Memory Cards, External Hard drives, smart devices. Don’t give away anything that plugs in.

Please do not hall walk or go to any other unapproved locations. Please do not ruin the potential for future events.
